Legacy Harbor Publishing ("we", "us", "our") respects your privacy. This policy explains what personal data we collect when you visit our website or work with us, why we use it, how long we keep it and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).

Information we collect

• Details you give us: your name, email address, phone number and anything you write in our forms, such as information about your book.
• Project materials: manuscripts, notes, images and recordings you share with us while we work on your book.
• Payment information: handled by our payment providers. We do not store full card numbers on our systems.
• Technical data: your IP address and browser details when you send a form, kept to protect the site from spam. With your permission, analytics tools also record the pages you visit, your device and your approximate location.

How we use your information and our lawful basis

• To answer your enquiry and prepare a quote: because you asked us to, as a step before entering into a contract.
• To carry out your project and keep you updated: to perform our contract with you.
• To keep accounts and meet tax rules: because the law requires it.
• To keep the website safe and stop spam: in our legitimate interests in running a secure business.
• To send you news and offers: only with your consent, or where you are already a client and have not opted out. You can unsubscribe at any time.
• To understand how visitors use the site: only with your consent, given through the cookie banner.

Your manuscript and confidentiality

Your work is yours. We never publish, share or reuse your manuscript or ideas without your written permission. Team members and contractors who work on your project are bound by confidentiality obligations, and we are happy to sign a separate non-disclosure agreement on request.

Who we share your information with

We do not sell your personal data. We share it only with trusted providers who help us run our business (for example email, hosting, payment and analytics providers), with publishing platforms when you ask us to publish on your behalf, with our professional advisers, or when the law requires it. Our providers may only use your data to provide their service to us.

Transfers outside the UK

Some of our providers store data outside the UK. When that happens we make sure your data stays protected, either because the country has UK adequacy regulations or because the provider has signed the ICO's International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.

Calls, texts and emails

If you send us an enquiry, we will contact you about it by phone, text or email. We only send marketing messages if you have agreed to receive them, or if you are a client and we are telling you about similar services, and every marketing email includes an easy way to unsubscribe. Asking us to stop marketing does not stop messages about a project you have hired us for.

Cookies

Our website works without optional cookies. The site remembers two small settings in your browser: whether you have seen our quote popup and your answer to the cookie banner. These are needed to show the site the way you asked.

With your permission we may also use analytics cookies (such as Google Analytics) to understand how visitors use our pages, advertising cookies (such as the Meta pixel) to measure our adverts, and an embedded Google map on our contact page, which lets Google set its own cookies. None of these load until you click "Accept" in the cookie banner. You can change your mind at any time with the "Cookie settings" link at the bottom of every page, or by clearing cookies in your browser.

How long we keep your information

• Enquiries that do not lead to a project: up to 2 years after our last contact.
• Client records, contracts and invoices: 6 years after the end of the project, as UK tax law requires.
• Manuscripts and project files: for the length of the project, then returned or deleted when you ask. We keep a copy of the final files for 2 years so we can help with corrections and reprints, unless you ask us not to.
• Marketing preferences: until you unsubscribe.

Keeping your data safe

We use appropriate technical and organisational measures to protect your data, including access controls, secure file sharing and staff confidentiality agreements.

Your rights

You have the right to ask for a copy of the personal data we hold about you, to have it corrected, to have it deleted, to restrict or object to how we use it, to receive it in a portable format and to withdraw your consent at any time. To use any of these rights, email [email protected] or call 020 7946 0147. There is no charge, and we will reply within one month. We may need to confirm your identity before we act on a request.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.

Children

Our services are for adults. We do not knowingly collect personal data from anyone under 18 without a parent or guardian being involved. If you believe a child has sent us their details, contact us and we will delete them.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
